This Privacy Policy explains how vNow (“we”, “us”, or “our”) collects, uses, and shares information when you use vnow.io and related scheduling services (the “Service”).
1. Information we collect
- Account information. Username, email address, password (hashed), profile and company details you provide.
- Booking information. Guest name, email, phone, company, notes, timezone, and meeting times.
- Scheduling configuration. Event types, availability rules, location/link details, and calendar preferences.
- Billing information. Subscription status and Stripe customer identifiers. Card details are processed by Stripe and are not stored on our servers.
- Usage and device data. IP address, browser type, pages viewed, approximate timestamps, and similar diagnostics needed to operate and secure the Service.
- Communications. Messages you send via contact forms or support email.
2. How we use information
- Provide booking pages, slot selection, confirmations, cancellations, and reschedules
- Send transactional email (confirmations, reminders, location updates, password resets)
- Authenticate users and secure accounts
- Process subscriptions and verify promotional eligibility (for example, Host Much Elite)
- Improve reliability, prevent abuse, and respond to support requests
- Comply with legal obligations
3. How we share information
We share information only as needed to run the Service:
- Hosts and guests. Booking details are shared between the parties to a meeting as part of scheduling.
- Service providers. Stripe (payments), SendGrid (email), and hosting/infrastructure vendors that process data under our instructions.
- Legal and safety. When required by law or to protect rights, safety, and the integrity of the Service.
- Business transfers. In connection with a merger, acquisition, or asset sale, with notice where appropriate.
We do not sell personal information.
4. Cookies and similar technologies
We use cookies and similar technologies for session authentication, theme preferences, and basic analytics/security. You can control cookies through your browser settings; disabling them may affect login and other features.
5. Data retention
We retain account and booking data for as long as your account is active and as needed to provide the Service, resolve disputes, enforce agreements, and meet legal requirements. You may request deletion of your account; some records may remain in backups or logs for a limited period.
6. Security
We use reasonable administrative and technical safeguards designed to protect personal information. No method of transmission or storage is completely secure; use strong passwords and protect your manage-booking links.
7. International processing
The Service may process data in the United States and other U.S. or vendor regions. By using the Service, you understand your information may be transferred to and processed in these locations.
8. Your choices
- Update profile, company, and scheduling settings in your account
- Cancel or reschedule bookings via manage links when available
- Cancel a paid subscription through billing settings / Stripe portal
- Contact us to request access, correction, or deletion where applicable
9. Children’s privacy
The Service is not directed to children under 13 (or the minimum age in your jurisdiction). We do not knowingly collect personal information from children.
10. Changes
We may update this Privacy Policy from time to time. We will post the updated version with a revised “Last updated” date. Continued use of the Service after changes means you accept the updated policy.
